Define stages the team can actually recognize

Use stages such as new enquiry, needs confirmed, solution discussion, commercial decision and post-sale follow-up. State the entry condition and goal for each stage, not just a number of days.

Prepare a small set of useful material for each stage

A new enquiry does not need a full white paper. Use a relevant case after needs are clear, and share pricing, delivery boundaries and formal documents at the commercial decision stage.

Set escalation and handover rules

High intent, pricing, payment, complaints and complex questions need clear ownership. The person taking over should receive a summary, conversation history and recommended action.

Review where conversations stop every week

Look at the stages where customers go quiet, repeated questions and assets that were shared without moving the conversation forward. This makes the SOP more useful over time.
